Set-Up & Dismantling
Exhibitors must strictly adhere to the designated set-up and dismantling dates and times. If a company representative does not report by the scheduled set-up time, the Organiser reserves the right to reclaim the exhibition space without refund.
A company representative must also be present during dismantling to oversee the safe removal of exhibits. All materials must be cleared from the exhibition area by 23:30 on 02 September 2025. Any items left behind will be removed by the Organiser, and the associated costs will be charged to the exhibitor. The exhibition space must be returned in its original condition. Any damage resulting from careless handling or booth construction will be repaired at the exhibitorās expense. Exhibitors are responsible for clearing all rubbish and debris after dismantling. Disposal of materials left in the hall will incur additional charges. It is the exhibitorās responsibility to inform any third-party booth contractors of the build-up and dismantling schedule.
Exhibition Hall Catering
Congress catering as outlined below is included in all delegates and exhibitor registration and is served in the Exhibition Hall. Exhibitors must ensure the presence of a representative on the booth during the lunch and coffee breaks.

Self-Build Booths
Booth Design Options
The official exhibition contractor, CCL Exhibition Services, offers full booth design services. Exhibitors may alternatively appoint independent contractors, but must email the contractorās name and contact details to industry@ilae.org by 23 May 2025.
Independent Contractor Requirements
Exhibitors using non-CCL contractors must submit scale booth plans (in metric) to industry@ilae.org by 06 June 2025 for approval. Plans must include:

Equipment and furnishings

Required voltage
Proof of insurance and relevant certificates (based on booth structure) are also required. Contractors will not be allowed to build without prior approval.
Build Specifications

Maximum height for free-build booths: 4m

Rigging points available via CCL Exhibition Services only

Floors over 2.5 cm in height must include a 45° ramp and/or access slide

Venue fixtures (e.g., fire equipment, signs, CCTV) must remain visible and unobstructed

On-site construction is not permittedābooths must be pre-fabricated and assembled on-site

Use of cutting, welding, sanding, or spray-painting tools is strictly prohibited

Construction materials like cement, plaster, and bricks are not allowed
-
Damage to venue property is forbidden (no drilling, painting, or attaching to walls/ceilings/floors)
Safety & Cleanliness

All materials must comply with fire safety regulations

Nothing may be stored outside the booth footprint

All waste must be removed after dismantling; disposal fees apply for any materials left behind
Responsibility
Exhibitors hiring their own contractors are responsible for ensuring full compliance with all rules.
Booth Builder Passes
All booth builders must have a Booth Builder Pass during setup and dismantling.
Complete the Exhibition Booth Builder Passes Form by 11 July 2025.
Shell Scheme Booths
Shell scheme packages for your booth can be purchased directly from the Congress Secretariat for ā¬1,200 per 9sqm. The Shell Scheme package includes:
- White laminated walls
- Exhibitor identification in self-adhesive vinyl (up to 20 graphic characters) on fascia panel
- Electrical connection, switchboard with electrical outlet and consumptions
- 2 spotlights
- Round white table with two white chairs
- Red industrial floor carpeting
- Cleaning for all days
Upgrades
The shell scheme package can be upgraded to include wall branding and additional furniture and/or equipment. Please visit the CCL webshop here to view options.

Exhibition Registration

Exhibition Quiz
Each exhibitor may submit one question based on their booth content for inclusion in the Exhibition Quiz, where delegates can compete to win great prizes. More details to follow.
Exhibition Desk
The Exhibitors’ Desk will be located in the Registration Area. All company representatives should check in there to collect their exhibitor badges and for any onsite queries. Booth builder wristbands will be provided to the companyās designated main contact ahead of booth setup. All booth personnel must wear a wristband or they will be denied entry.
Lead Retrieval System App
To maximise leads during the Congress, use our badge-scanning app on your own device(s) to instantly capture delegate information at your booth. The cost is ā¬500 for unlimited users. To purchase, sign up here by 15 August 2025. First-time users can email industry@ilae.org for more information.
Scientific Exhibits
A dedicated zone in the centre of the Exhibition Hall will showcase Company Scientific Exhibits featuring their latest research.
Please note the following:

A preview of each poster must be emailed to industry@ilae.org by 01 August.

Poster boards are portrait orientation, measuring 100cm (W) x 250cm (H). Posters do not need to fill the entire board.

Posters must be set up on 30 August between 08:00 and 12:00.

Companies are responsible for mounting their posters. Materials will be provided by the Organiser.

Posters must be removed on 02 September between 17:00 and 19:00. Unclaimed posters will be discarded, and the Organiser is not responsible for them.

A total of 20 poster boards (10 double-sided) will be provided. If fewer are needed, please notify the Organiser by 25 July.

Posters can also be displayed online via the congress app and platform (available on demand for 3 months post-congress). To arrange this, contact Kathryn Hodgson at khodgson@ilae.org.

Online Exhibition
Each exhibitor will have the opportunity to populate a company profile/exhibition page on the online congress platform and app. Instructions will be sent to all exhibitors in early July 2025.
