Programme Summary
The Company must submit a summary of itsā satellite symposium programme for review by the Scientific Organising Committee (SOC) by 16 May 2025 using this form here.
Invitations
A company may send an email notification, via the Congress Secretariat, of itsā satellite symposium to all registered participants that have opted in to receive communication from industry in advance of the congress free-of-charge (content must be approved of by the Organiser). The invitation must be submitted as an optimised PNG along with all included artwork (the assets must also be optimised PNGs). The invitation must be exactly 600px in width. The files must be submitted by 13 June 2025.
A company may insert an invitation to itsā satellite symposium in the online congress bags. The insert must be a PDF and no more than two [2] pages. The maximum size of an insert is 10 MB. The digital material must be approved of in writing in advance by the Organiser. The artwork must be sent for approval to the Congress Secretariat by 18 July 2025.
Advertising
The satellite symposia are acknowledged on the congress website, in the digital programme via the congress app and in the printed pocket programme.
In addition, the Company may advertise the satellite symposium through while onsite through the Congress App using a Push Notification. Push Notifications should be concise so as the message pops up clearly on the app when delivered (title 55 characters max and message 350 characters max). Please fill out the Satellite Symposium Push Notification Request Form here by 25 July 2025.
A Company may distribute invitations to its satellite symposium on itsā exhibition booth. The invitations must be approved of by the Organiser, as above. Distribution of invitations will not be permitted in the aisles or outside the exhibition area.
A Company may display a poster (maximum A0-size) advertising itsā satellite symposium only in two allocated areas (one in the registration area and one in the main thoroughfare which is Foyer D) in the convention centre and at the allocated times. The artwork for the advertising posters must be sent for approval to the Congress Secretariat by 18 July 2025. Advertising posters may be erected a maximum of 24 hours before a satellite symposium is due to commence. Each company must ensure that posters are removed immediately after the satellite symposium concludes. If a sponsor’s posters must be removed by the Congress Secretariat or the venue, that sponsor will be charged for their removal.
Abstract in Congress Proceedings
A satellite symposium programme abstract may be submitted for inclusion in the congress abstract publication in Epilepsia (generally published in November following the congress), provided that it has been approved by the scientific committee. Should a company wish to submit an abstract for view please do so by 08 August 2025 using this form here.
Satellite Symposium Recordings
Each satellite symposium is recorded by the Organiser. The recording is provided to the Company as part of the satellite symposium package. The recording can be included in the ondemand content on the congress app and platform (available for 3 months after the congress). Faculty Support
The Company must register all faculty members and cover acceptable expenses as per company policy for the faculty.
Technical Rehearsal
A Company may arrange a technical rehearsal for itsā satellite symposium in the session room reserved for itsā satellite symposium. This run-through may be no longer than 30 minutes and will take place at a mutually convenient time prior to the satellite symposium. Please complete this form here by 30 May 2025 in order to make arrangements for a technical rehearsal.
This technical rehearsal may not be a speakers’ rehearsal or a full slide rehearsal.
Catering
A company may make arrangements for catering for its satellite symposium, provided that the Organiser approves. Please contact the Catering Contractor for menu options; see contact details on the Suppliers section of the Industry Manual.
Lunchtime symposia will have a delivery of the congress lunches to outside the session room at the time of their satellite symposium; this may be advertised on promotional materials if desired.
Satellite Symposium Rooms
Companies should ensure that they know in which session room their satellite symposium will take place before preparing their advertising materials where possible, each satellite symposium organiser will have their choice of the available session rooms.
The recommended rooms are Auditorium VI & VII (this is a combined room) or Auditorium VIII.

Access to the Session Room
- Access to the session rooms is restricted. Full delegates may access the satellite symposium as part of their registration and do not need any additional pass or badge.
- Exhibitor badges do not entitle the wearer to access to the satellite symposium ā except to a satellite symposium being held by the same company.
- Technician passes are available only for technical staff working on a satellite symposium. A Company can apply for a maximum of five [5] passes by completing this form here by 04 July 2025.
Audiovisual Equipment
The audiovisual equipment present in the session room during the congress may be utilised by a company for its satellite symposium. This includes:
- Projector & Screen
- Top Table Confidence Monitor
- Presentation Laptop (Mouse Pointer)
- Sound system (lectern mic, three top table mics, Q&A mics)
- Speaker Timer

Auditorium VIII
A company may use additional AV equipment, provided that the Organiser approves. Please contact the Audio Visual Contractor; see details on the Suppliers section of the Industry Manual.
Each satellite symposium will be recorded; Companies may decide whether they wish to have the recording of their satellite symposium included as part of the on-demand content of the congress which is available to all registered delegates for three months after the congress.
Set-Up & Dismantling
A company that has reserved a satellite symposium will have 15 minutes to set up the session room for its satellite symposium. Set-up for a satellite symposium must not interfere with congress sessions or with the general running of the congress.
Any stage decorations must not be permanent and must be removed immediately after the satellite symposium concludes. It is each company’s responsibility to ensure that all decorations and equipment are removed from the session room.
Decoration including Lectern Poster & Speakersā Table Dressing
A company may place a rigid sign in front of the lectern with details of itsā satellite symposium and a similar style table dressing poster in front of the speakers’ table. These decorations may not be permanent and must be free-standing. No glue or adhesive can be used to affix the signage to the lectern or tables.
The maximum dimensions of a freestanding lectern poster are: 0.66m wide x 1.1m high. Note that it is an open lectern as per image below:
Speakersā tables will be set in each session room for 6pax. The maximum dimensions of a freestanding table dressing poster in front of each speakers’ table are: 4.8m long x 0.85m high.
The artwork for the lectern and table dressing must be sent for approval to the Congress Secretariat by 18 July 2025 along with any other proposed decorations within the session room for the satellite symposium.
